Ph.D. Candidacy Paperwork Guide

Follow this guide to complete your administrative requirements for passing the Pre- and Qualifying examinations, Advancing to Candidacy, and applying for the Ph.D. in Environmental Studies.

Pre-Qualifying Exam:

  1. Email the ENVS graduate coordinator and the faculty graduate representative with the list of your pre-qualifying exam committee members, and the date and time of your examination.
  2. Prior to or on the day of the exam, print out the Pre-Qualifying Examination Report form. Your exam chair will return the completed form after your exam to the ENVS graduate coordinator.

Qualifying Exam:

  1. Submit the Nomination of Qualifying Exam Committee form to the ENVS graduate coordinator for review. You must submit this form at least two months in advance of your exam to the ENVS graduate coordinator. This will be signed by the coordinator and by the faculty graduate representative and then sent to the Graduate Studies office for final approval.
  2. Graduate Studies will email you and the department with their ruling on the examination committee members. If approved, then print out the Qualifying Examination Report form, and bring it with you to your exam.
  3. Your exam committee will return the completed form to the ENVS graduate coordinator.
  4. After passing the qualifying exam, and completing all required coursework and Teaching Assistantships, you are ready to advance to candidacy!

Advancing to Candidacy:

  1. Turn in your Nominations for Dissertation Reading Committee form, and a check payable to UC Regents for $95 to the ENVS graduate coordinator. These will be sent to the Graduate Studies office along with your Qualifying Examination Report form.
  2. You will be officially Advanced to Candidacy in the term following the submission of these materials and, if applicable, completion of any incomplete (I) grades and language requirements.*
  3. After you have advanced to candidacy, you can apply for a non-terminal Master's degree. Fill out the Master's degree application and have it signed by the graduate coordinator and faculty graduate representative; be sure it is received at the Graduate Division by the deadline (usually the second week of the quarter).

Applying for the Ph.D.:

  1. Print out the Application for the Doctor of Philosophy Degree.
  2. Complete the top part of the form and have your dissertation advisor sign below. When that is completed, hand the form to the faculty graduate representative; they will sign and forward to the ENVS graduate coordinator for their signature. This will be sent to the Graduate Studies office.
  3. You must ensure that there is adequate time for 1) all signatures to be obtained, and 2) submitting the form to Graduate Studies by the deadline for Announcing your Candidacy for the Ph.D. in the Academic Calendar. See the Registrar’s website for this date (usually the second week of the quarter).
  4. Schedule an exit talk seminar with the graduate student and faculty member coordinating seminars for the academic year you plan to graduate in.
  5. All requirements for the degree – including the exit seminar and submitting a complete dissertation with a signed title page – must be met by the deadline indicated in the Academic Calendar. Guidelines for the dissertation format are available at the Graduate Studies website.
  6. Turn in a bound copy of your dissertation to the ENVS graduate coordinator. Binding services are available from most duplication businesses; see examples here.
  7. Complete the Exit Survey at the Graduate Studies Website.
  8. Be sure to keep in touch with the department, and inform us of your professional activities after you graduate!

*After you have advanced to candidacy (ATC), you have a few schedules to keep in mind:

I. The Financial Aid Office requires that students complete their degrees three (3) years after ATC, otherwise the department must contact the Graduate Studies Division and indicate that you are making good progress to the degree. This is done to make sure that you will still remain eligible for financial aid (fellowships, loans, TA/GSR positions, etc.).

II. Another deadline required by the Graduate Studies Division is that students complete the degree no more than seven (7) years after ATC. If this is not done, your candidacy will lapse and you will have to re-take the qualifying examination.

III. As well, the normative time to finish your doctorate is considered to be seven (7) years total.
